Staff Directories on HBUHSD Websites and the Parent/Student Portal - After the 10/10/2010 Conversion
Staff directories were maintained with the vECS system prior to the conversion on Oct. 9-10, 2010. On October 11th, maintenance of these profiles was split between SB2000 Classroom and the Parent/Student Portal. This web pages contains important terminology to help us cope with the change. Teachers with sections update their Staff Profiles, including assignments, using SB2000 Classroom. All other profiles, not associated with classroom sections, are now referred to as Directory Profiles, and are updated using the Parent/Student Portal. Staff Directories can be viewed within the Parent/Student Portal as well as from school websites.
The new Staff Directory structure automatically places teachers with sections in the top portion of the directory by department. We will refer to these as Staff Profiles. The lower portion of the directory contains the profiles for organizations and other staff members not associated with classroom sections. We will refer to these as Directory Profiles (even if this particular profile is for a staff member). Understanding these designations will help you navigate through the system and instructions.
A special area between the two portions of the directory mentioned above is the Other Department area. This area will only appear if a staff profile exists for a teacher with no sections in the current master schedule (example: Smith, John in the figure below).

As stated above, teachers use the new functions found in the Manage menu item of SB2000 Classroom to maintain their Staff Profiles (which includes Sub Pages, calendar, etc.) and assignments. These data items are actually stored in the Parent/Student Portal database since that is the forum where are now made available to the public for viewing.
Directory Profiles are edited using the Parent/Student Portal (PSPortal). User accounts in the Parent/Student Portal (PSPortal) have different capabilities we call roles. There are two types of new account roles associated with maintaining Directory Profiles. There is no longer a one-to-one correspondence to profiles and login accounts as there was before in the vECS system.
Directory Admin Role: A PSPortal account with the Directory Admin role creates Directory Profiles and Directory User accounts for their school. Then the Directory Admin assigns Directory Users to be Editors for specific Directory Profiles. Unlike vECS, a Directory User may be allowed to edit multiple Directory Profiles from. The Directory Admin account is automatically assigned as an Editor to every school Directory Profile.
Directory Role: A PSPortal account with the Directory role can be assigned as an Editor to multiple Directory Profiles. Anyone who needs to edit a school Directory Profile should be given this role and then be assigned to edit the profile by the Directory Admin. There's no need to share login accounts as with the old vECS system.
Multiple Roles: A PSPortal account may be assigned multiple roles. All HBUHSD teachers have been given a PSPortal account with the Teacher role. The same login codes used for SB2000 Classroom can be used to log into the PSPortal. Teachers can also be given Directory roles if they have Directory Profiles to maintain. This may be true of department chairs, teachers who coach teams or are involved with special programs with Directory Profiles. These teachers would need to have their SB2000 Classroom staff IDs assigned as Editors to the Directory Profiles they need to manage.
As of October 11, 2010, Directory Profile administration will be handled by HBUHSD Information Services. They are still working on completing the user interface needed before returning the Directory Admin duties to school staff. After the conversion, an email was sent to all the addresses found on the old non-instructional vECS web pages. This email indicated how existing vECS user accounts had been modified and provided the following information for existing users...
| Users who had ECS profile pages, sub pages* and calendars, must
now edit those items through the Parent/Student Portal. These are the
profiles, not associated with classroom sections, used by administrators,
classified staff, departments, sports teams, school-related organizations, etc.
Instead of logging into the ECS system, these users will log in at
https://psportal.hbuhsd.org using
their ECS username and password with slight modifications. The appropriate
school's initials must now precede both the User ID and password. For
example, if you logged into FVHS's ECS system as boysbaseball using the password
slider, you now need to login to the Parent/Student Portal with the User ID
fvhsboysbaseball and password fvhsslider. The proper school initial
prefixes are: hbhs, whs, mhs, fvhs, ehs, ovhs, vvhs (that's a v and a v for
