HBUHSD INFORMATION TECHNOLOGY OVERVIEW

This overview of information systems used within the district is meant for new employees or those staff members in new positions or with new duties.  Some of the links below are only available from computers within the district and some only on computers with an "administrative" address.  Unless otherwise mentioned, all servers and software applications mentioned below are housed at the District Office and accessed via the wide area network.  Please review our technology usage policies.

Internet Access: The Orange County Department of Education acts as our Internet Provider.  The schools are all connected to our district office via 100mb circuits and from here we all share a 300mb circuit to OCDE for Internet connectivity. Here's a diagram of our wide area network.
Web Pages: The contents of all web sites are the site's responsibility within district guidelinesAll employees are encouraged to check for important information daily at the HBUHSD Staff Portal as well as local school staff portals and their individual email accounts.  Web "portal" pages are meant to consolidate information by topic or special interest group.  Click here for District and school web pages.  Most web sites are hosted on servers located at the district office "outside the electronic firewall" so they can be reached from computers outside the district.
Email:  Staff members receive a web based email account for their site's domain on the central Imail mail server located at the district office.  Email is available to them from anywhere in the world or the employee may choose to download their email to their computer via client software such as Outlook, Entourage or Netscape Messenger, etc.  eMail accounts are maintained by site staff.  Administrative staff share calendars using Outlook via an Exchange server.
SB2000:  SB2000 (Student Body 2000) is the name of HBUHSD's custom student information system which houses most student information within the district.  It replaced our old mainframe system in the year 2000 and is available to administrative and classified staff as well as certificated  staff with the need for this information (psychologists, case carriers, program coordinators, etc.).  SB2000 users should check the SB2000 News Portal for SB2000 information.  SB2000 accounts can be requested with the form found here.
SB2000 Classroom:  SB2000 Classroom is the web-based software that teachers use to access SB2000 data for online attendance, online grades and more.  The use of SB2000 Classroom began in September 2003 and limits teachers to viewing information for their students only.  Teachers should record attendance online period by period and sign and submit Weekly Attendance Verification forms to satisfy state audit requirements.  SB2000 Classroom users should check the Portal to SB2000 Classroom for information about new features, training material, problem reports and log on information.  Account issues are handled by local liaisons. Administrative and classified staff may request access to SB2000 Classroom so they can help support teacher use. 
vECS:  Virtual ECS is software originally commissioned by FVHS around 2001 that is now used by all schools in varying degrees. The software is now owned and maintained (reluctantly) by the district.  Up until October 2010, it provided teachers with a web authoring tool to help them develop their own web pages to share information about classes with their students and parents. On the weekend of Oct. 9-10, 2010, the vECS web authoring tools were replaced by similar functions in SB2000 Classroom.   vECS accounts are still maintained by site staff.  It was been a significant predecessor to the new Parent/Student Portal.  vECS pages appeared embedded in the school's web page and began as a staff directory (which is now provided via the Parent/Student Portal).  School staff portals are still available for further information sharing of local issues within the vECS system.  There are a few vECS functions that are still operational after the October 2010 changes. They are the school staff portals, alumni functions, work order system and Student Project Center.
Forums  The district has used the FuseTalk forum system since the around 2001 to meet the forum needs of its schools.
Grade Book Software:  Many teachers have been using grade book software in the district for years.  Although there are many flavors in use (GradeQuick, Making the Grade, MicroGrade), the District Technology Committee selected Easy Grade Pro in 2006 as the future standard.  Easy Grade Pro was selected to become the key cornerstone of the developing Parent/Student Portal.  Its use is highly encouraged but not mandatory at this time.  Local Technology Resource Teachers can help others get started with Easy Grade Pro.  Teachers using the grade book program Easy Grade Pro are able to import their assignment grades into the Parent / Student Portal (via vECS) as often as they wish.  Once there, teachers can import progress report grade marks directly into SB2000 Classroom, avoiding the redundant activity of bubbling Scantron grade scanner sheets eight times during the school year.  An integrated grade book component will be added to SB2000 Classroom for use in the fall of 2011.
Parent/Student Portal:  HBUHSD's custom Parent/Student Portal was launched in November 2006. This web-based program gives parents and students access to a wealth of information including period by period attendance.  Teachers using the grade book program Easy Grade Pro are able to import their assignments and grades into the portal.  The portal also displays other data from SB2000 including assessments, report cards, transcripts and status toward graduation. Teachers and support staff have access to the Parent/Student Portal as well.  Teacher accounts are the same as used in SB2000 Classroom. Other support staff should contact the AP Guidance for account information.
School-to-home Communication:  Automated telephone calls can be placed to parents and/or students from three separate systems.  The Teleparent system has been used by WHS teachers to communicate with their community since 2006.  In the fall of 2007, all administrative teams were given the ability to place calls to parents, students and staff using the ConnectEd system (now called BlackboardConnect). The PhoneMaster system was used for over 20 years to place nightly attendance calls from the district office to absent students throughout the district, however, it was replaced by Blackboard Connect in the fall of 2011.
Subfinder:  HBUHSD uses the third party Subfinder WebConnect  system to manage the assignment of substitute teachers.  We use both the telephonic and web-based interfaces.
Assessment Tools:  Many third party web-based assessment tools are used in the district, including Illuminate DnA.  The Curriculum Department at the district office manages these services.   Illuminate DnA replaced Data Director in July 2011.
Special Ed IEPs:  HBUHSD began using the SEIS web-based in 2006-07 to manage IEPs online for Special Education students.  SEIS is a an online service provided by the San Joaquin Office of Education.  SEIS it is not integrated with other district student information systems and is managed by WOCCSE at the district office.  SEIS allows us to share IEP information with other districts to expedite student transitions between schools.
Financial Tools:  HBUHSD budgetary needs are handled by online services provided by Orange County Department of Education.  Those services are coordinated by the Fiscal Department at the district office.
Human Resources:  HBUHSD has developed its own HR system to manage its greatest assets, its employees.
Adult School:  HBAS has used the ASAP 2000 student information system since the removal of the mainframe during the Y2K conversion.  ASAP 2000 operates independently from the SB2000 system 
Food Services:  In 2008, Food Services began the process of converting their point-of-sale systems from Snap to LunchBox.  Another change is pending for the fall of 2011 (considering the move to Meals Plus).
ASB:  The ASB Bookeepers use BlueBear software to keep their accounts (SchoolBooks) and manage sales (Tracks).
Libraries:  The libraries are full of technology for student use.  They have been using the Follett library system for cataloging and checkouts since the late 1980s. The district upgraded to the Follett Destiny Library Manager system in February 2010.
Textbooks:  The schools purchased Follett's Destiny Textbook Manager system in June 2010 and implemented it on May 3, 2011.  Prior to that change five schools used a textbook checkout system  the district provided to the schools in the late 1980's and one school was using Follett's Textlink system purchased in 2001.  The textbook and library functions are now integrated and web based under the Destiny umbrella making it possible for any staff member to view checked out materials and fines.
